Cafe Inventory Instructions

Inventory Process
- A Day Manager should complete the inventory between 3 and
5 PM.
- Record inventory "quantities on-hand" on the
line marked STOCK for the current day.
- For items having less STOCK than the REORDER AT quantity,
calculate the reorder quantify and enter on the shaded
line marked ORDER for the current day. See Important
Inventory Notes below.
- In the event that an item runs out or stock or becomes
very low, contact the appropriate supplier listed below.
- Contact a Cafe Chairperson in the event of any problem.
- NO Inventory is taken on the last fair day. The closing
inventory will be made the day after and returns made at
that time.

Item Locations (in general, also see Shelves Map):
- Perishable Items: Burgers, hot dogs, ice cream, milk,
lettuce, cheese, green chili, etc. Located in one
of the freezers or refrigerators, expect pickles in
bucket in grill area, and onions & tomatoes in the
back.
- Food Service Items: Cups, lids, plates, utensils, etc.
Located on the stock shelves in the back. Some
small items like coffee filters and stirrers are located
under the front counter.
- Beverages & Condiments: Coffee, tea, salt, pepper,
ketchup, etc. Located under front counter.
- Grill Accessories: Crackers, corn chips, pickles, can
chili & beans, buns, grill bricks, etc.
Located on shelves in the grill area.
- Cleaning items: Degreaser, dish soap, litmus paper
Located around the front sink area.
- PAY attention to units. We order
according to vendor quantities. For example, 2 each 5
quart buckets of ice cream constitute a case - we
inventory cases not buckets!
- When taking inventory locate ALL items. Ask around if
necessary. Don't just mark 0 quantity because it wasn't
found. Compare inventory from previous days as a hint
- Some items may be in multiple locations.
- Compare the order quantity with the daily use rate. If
the quantity does not sound right, compare the inventory
to the previous day or double check.
For example, The cafe uses about a box of coffee filters
per fair; if there was a box of 1000 coffee filters
yesterday and none today, they probably werent
found.
- Potato chips may be stacked 2 boxes deep on the
top shelf.
- Leave a note for Zanios with the inventory and/or the
Cafe Chairperson, if you have a problem or are unsure
about a quantity.
