Cafe Manager

The Cafe Manager chairs the Asbury Cafe Committee and oversees all operations of the cafe with the assistance of several coordinators. Tasks include:

  1. Chair the Asbury Cafe Committee.
  2. Oversee the operations of the cafe on a daily basis at fairtime.
  3. Focus the efforts of the coordinators and a other churches, particularly the Pie and Schedule Coordinators.
  4. Perform duties outlined in the managers schedule.
  5. Handle business activities of cafe.
  6. Make thank you responses for contributions, including all outside donations, media coverage, church recognitions, etc.

Asbury Cafe Committee

The Asbury Cafe Committee governs the operation of the Asbury Cafe by setting operating policies and guidelines. The committee meets several times a year concentrated in the weeks and months prior to fairtime. The committee annually reviews its beneficiary  recipients and votes on monetary allocations. The committee exists as an ad hoc working group under the Outreach Ministry of Asbury United Methodist Church. Volunteers and coordinators from participating churches constitute membership on a open basis. Voting privileges generally reside with the continuing working group; however; meetings are open to the public and anyone interested may attend. 

Fruit Coordinators

Fruit Coordinators manage the picking, processing, freezing, and logistics of fruit used for pies. Fruit coordinators work occurs mainly from the spring fruit season to the start of the fair. Tasks include:

  1. Coordinating all fruit handling.
  2. Contact fruit pickers and preparers when fruit is ready for prep.
  3. Keep track of the location, quantity, and use all prepared fruit supplies.
  4. Order bulk frozen fruit of types not available and provided through donations.

Pie Coordinators

Pie Coordinators manage the making, baking and delivery of pies. Generally, the pie coordinator from Asbury assumes responsibility for coordinating the work of all the pie coordinators. It is imperative that each participating church provide a pie coordinator that understands the restrictions and logistics of distribution for pies provided to the cafe. The pie coordinators work occurs mainly between the end of July when pie parties begin through the end of the fair. Tasks include:

  1. Handle complete logistics of all pies prepared for the cafe. This must be thorough and complete accounting for the quantity, type, and location of all pies. It also includes record of all preparations, especially the coordination of the baking and delivery of all pies for the cafe.
  2. Coordinate with pie parties. Help with scheduling, providing fruit and supplies, pie tins, and freezer space.
  3. Purchase or order supplies as needed.
  4. Instruct individuals and groups as to restrictions for pies, bagging, labeling, cooking, etc. See Pie Party Handbook for details.
  5. Create and monitor signup sheets. Recruit bakers for orphan pies.
  6. Manage pie inventory during the fair to avoid large day to day carryover and/or shortages. Call bakers and other coordinators as necessary to adjust pie deliveries.

Worker Schedule Coordinators

Worker Coordinators manage the scheduling of cafe workers. Generally, the worker schedule coordinator from Asbury assumes responsibility for the overall worker schedule. The Worker Schedule Coordinator's work occurs largely over the period of 3 weeks prior to the fair through to the end of the fair. Tasks include:

  1. Organize the master worker schedule.
  2. Print and distribute daily signup sheets for participating groups and churches.
  3. Recruit workers to fill schedule.
  4. Monitor worker schedule during fairtime and assist day managers in filling cancellations.
  5. Provide signup sheets to day managers as early as possible so they can remind workers 1-2 days before work shift.
