Season Pass Management

The Asbury Cafe has enough season passes for one shift (10). This is enough to allow all workers for all three shifts free admission if properly managed. NOTE: Day Managers have separate vendor admission credentials and should not use the season passes.

Pass start out at Asbury UMC. they are picked up and checked out by first shift workers between 7-8 AM. First shift workers turn passes over to the Early Day Manager upon arrival to the cafe, who in turn gives the passes to the Pie Deliverer to return to Asbury. Second shift workers sign out passes from Asbury between 12-1 PM and turn them over to the Early Day Manager upon arrival to the cafe.  The Early Day Manager returns the passes to Asbury at the end of their shift (by 5 PM). Third shift workers sign out passes between 5:15 and 6:15 PM at Asbury and turn over to the Late Day Manager upon arrival at the cafe. The Late Day Manager returns the passes to Asbury at the end of their shift for use the next day.

Any problems with this process, lost passes, etc. should be reported to the Cafe Manager ASAP.

Pass Manager Instructions

  1. Depending on your assignment, please be at the church 
  2. You will need to arrange for a church key ahead of time.
  3. When volunteers come to the church, verify that they are scheduled to work the next shift. Passes will not be handed out in advance of later shifts.
  4. Signout sheets and numbered passes are in the Season Pass folder in the Cafe Operations Box on the Narthex desk.
  5. When you first get to the church, verify all 10 passes are in the folder. If passes are missing and signed out, call the person(s) to get the passes returned ASAP. If passes are missing and unaccounted for, call the Cafe Manager immediately.
  6. When persons check out passes have them fill out their name and phone number on the checkout sheet.  There is a dated checkout sheet of each day of the fair.
  7. Inform persons receiving passes to give them to the Day Manager upon arrival at the cafe and DO NOT surrender them to admission booths upon entering the fairgrounds.
  8. If you get donations, place them in the donation bag in the same folder.
  9. At the end of your hour, please call the Day Manager at the cafe (610-0255) and report who checked out passes. Please note that the Early Day Manager may not be at the cafe to answer the phone before 8:30 AM.
  10. Be sure that the church is locked (if appropriate) on your way out.

Early Day Manager Instructions

After workers arrive for first shift, be sure to collect all season passes and give to the Pie Deliverer for return to Asbury. You should receive a call between 8:30 and 9:00 AM telling you how many passes were signed out. You will receive a second call for second shift workers around 1:00 PM. Collect the passes from the workers and return them to the Season Pass folder of the Cafe Operations Box at Asbury at the end of your shift.

Late Day Manager Instructions

When workers arrive for last shift, you should receive a call around  6:00 PM telling you how many passes were signed out. Be sure to collect all the season passes from the workers and return them to the Season Pass folder of the Cafe Operations Box at Asbury at the end of your shift.

Pie Deliverer Instructions

Pick up season passes for the first shift workers from the Early Day Manager and return to Asbury. Place in the Season Pass folder of the Cafe Operations Box on the Information Desk in the Narthex.
